We will not share your data with any third parties, and neither you nor your patient will be subject to any automated decision making.

Special category personal data of your patients

As a data processor, we provide data storage and retrieval services of the encrypted special category personal data of your patients, on your behalf as the data controller.

We do not have the ability to decrypt, and therefore access, this data. We will not share this data with any third parties.

How do we store your data?

Our Company securely stores your data with Amazon Web Services (AWS) in the UK (London). The AWS Privacy Notice is available at https://aws.amazon.com/privacy. This data is not shared with any party outside of the data controller. Dental Audio Notes and AWS act as data processors managing data on instruction from the data controller (you).

We will store the special category personal data of your patients in accordance with timescales set out in the Faculty of General Dental Practice (FGDP) Clinical Examination and Record-Keeping standards5, while you are a customer of us, unless instructed by you as the data controller, to reduce this duration. If our commercial agreement is terminated between us, we will continue to hold this data for a period of 6 months, to allow you to bring these records under your own management, unless instructed by you to reduce this duration.

Personal data that does not have a defined retention schedule is managed for as long as is necessary to fulfil the purpose of obtaining it or if we are required to keep it by law.

After the relevant retention period, the data will be securely destroyed.

Can a patient opt-out of processing

If a patient wishes to opt out of the service provided by Dental Audio Notes, please ensure that the Dental Audio Notes application is not in recording mode. Once a record has been made the data forms part of the Patient Record and needs to be handled accordingly by you, as a data controller.

Can a patient request their data

If a patient requests access to their data, you as a data controller can grant them this access using the Dental Audio Notes services.
